Welcome to the VegOut! Scottsdale Vendor Application. Please read the Vendor Guidelines in the attached PDF (at the bottom of this page) before submitting your application. When you have finished filling in the application and have read all notices and the guidelines, please click the submit button at the bottom of the page. VegOut! Scottsdale Exhibitor Application

Complete the form below and submit your application. Once your application has been approved, you will be emailed a separate agreement and invoice. Payment can then be made online or via check/money order to finalize participation approval. NOTE: Approved exhibitors must participate on both days of the event (Sat & Sun), for the entire duration of each day. No exceptions. Be sure to get your application in before October 31, 2017, as the base package prices will increase after that (early bird incentive, anyone?)! NOTICE: Please make sure you are taken to the confirmation page once you click submit. If not, there may be a problem with your application, in which it must be resolved before properly submitting.
    Select the choice that best indicates what you do & will be doing at the event. *Alcohol Vendors are required to upload liquor license, as well as use a 10'x20' space.

  • Please be as specific as possible and tell us about what you do and plan to sell. Mention anything that makes your business unique (E.g. Local ingredients, allergy friendly, family business, etc).
  • Tasting Vendor

    For food vendors, we are offering the unique opportunity to be specially featured in our programming & social media, and highlighted on the event map as a "Tasting Vendor." Since this would bring a lot of additional attention, the expectation is for the vendor to provide a separate tasting menu, well supplied with the ability to adequately meet festival attendance demands. This menu must only contain small portions either offered as free samples, and/or $1, $2, and/or $3 portions, a fair offering for the price. The idea is that the tasting menu will complement the full menu, driving more sales, while allowing festival goers to experience more variety by making their money go further and without becoming too full too quickly. Since samples and small portions have a higher cost per item percentage for the vendor, that is why the festival will highlight these vendors, driving additional traffic and business.

    Members will be given consideration for special promotion, as Local First AZ aims to highlight local businesses.
  • Locally sourced is defined as a product or ingredient that is grown / made within 150 miles of where it is consumed. (e.g. Bread made and sold in Scottsdale that uses flour grown in Tucson would be considered local).
    We welcome new exhibitors, and also reward those returning.
    We are looking to know if you have exhibited at other (not sponsored by FoodInRoot) vegan events (e.g. VegFests, Vegetarian Festivals, etc).
  • If you have participated in (or will be participating in) other vegan food festivals not sponsored by FoodInRoot, please list them all above. Specify the year in which you participated, and if more than once, list the years of each event. If it is not clear in the title, please list the State or location of the events.
  • Base Exhibitor Package

    NOTE: For all canopies, properly affixed weights of 40 lbs per leg are required. Vendors must provide their own weights, or rent separately. Anchors/stakes are NOT permitted. All packages are for the full two days of the event - exhibitors MUST participate in BOTH days of the event, for the entire duration - NO EXCEPTIONS. Current prices are special rate and guaranteed until October 31, 2017 - at which point they will increase. Exhibitors that participated in our previous VegFest & VegOut Events are eligible for a 10% discount off the Base Package.
    Please select the space package of your choice. All exhibitors are responsible for bringing their own canopies, tables, tablecloths, chairs, and all equipment/supplies. If you need to rent equipment, please see the add-ons section. All packages include basic features in our marketing campaign (website listing, print listings, and social media announcements). Additional listings and announcements available upon request. Health Department Fees and application are responsibility of the vendor, though we can provide assistance to questions. Alcohol vendors must use a Vendor Double Space. *Non-Profit Exhibitors must be 501(c) organizations that are not intending to sell (excluding memberships) to qualify for this rate.
  • The number of spaces with access to electricity is limited, and this will impact placement. Generators are not permitted unless extremely quiet (batteries are acceptable).
  • Add-Ons

    Select any add-ons that you would like - these are additional charges not included in your base package.
    Access to electricity warrants additional cost. (Unless exhibitor provides own power). Keep in mind the use of electricity will impact placement opportunities.

    High Quality Chair Rental - Includes set-up and take-down.
    By checking the box above, you agree to assume complete responsibility for costs incurred from damage to any rental equipment selected, beyond the standard wear & tear.

    Having the proper permitting for the event is the responsibility of the vendor. Please view the link to make sure you have the appropriate permit (for most food vendors, it is the Temporary Food Establishment permit).     Required: Please upload 2 photos of your product, and 1 photo of your booth display, for promotional use. Please attach any additional permits, licenses, pictures of display, or other pertinent documents or files, or email directly to [email protected] with the subject VegOut! Scottsdale.

You also agree, as a participant in VegOut! Scottsdale, to hold FoodInRoot Management LLC (DBA VegOut Events), and their respective agents and employees, harmless and to indemnify them from any and all claims of any kind or nature which may be made against FoodInRoot Management LLC as a result of your own actions or failure to act, whether caused by negligence or otherwise. By typing your name, you, a statutory agent of the business in this application, agree to this waiver of liability, assumption of risk and indemnity agreement, fully understand its terms, and understand that you have given up certain rights by signing it, and have signed it freely and voluntarily without any inducement, assurance or guarantee being made to you and intend that your digital signature to be a complete and unconditional release of all liability to the greatest extent allowed by law.

All approved exhibitors are covered via FoodInRoot Management's (DBA VegOut Events) insurance umbrella policy at this event, however, we strongly encourage that every exhibitor carry their own liability insurance to mitigate risk. Should you seek additional coverage, it is the sole responsibility of the vendor. Please give us time to process the application - you should hear back from us within 2-7 days. IMPORTANT: As this is a festival where many people come to try, learn about, and experience the vegan lifestyle, we highly recommend that all approved food & drink vendors come properly prepared with either abundant samples to give away, or a tasting menu, where smaller portions can be purchased at a reduced cost. Management will try to give projections of the total attendance as the event approaches, but it is important for all vendors to be able to meet demand for both Saturday & Sunday of the event.
